Use a search folder to find and delete emails in Outlook

We would like to remind you of the importance of deleting large emails, often caused by heavy attachments. It is not always necessary to keep these attachments on the mail server. If you need to keep them, save them locally and delete the email from the server.

You can proceed as follows :

 

  • Create a search folder: Access your email client (Outlook) and look for the option to create a new search folder; it's often the last line at the bottom of your personal folders



  • Configure the search criteria: Set up the search folder to display all emails larger than 5000 KB (≃5 MB). You will need to specify the size of the emails in KB by clicking on "Choose…".


  • Launch the search folder: Open the newly created search folder. It will gather all emails larger than 5000 KB in one place.

 

 

  • Sort by date: If you want to delete the oldest emails first, organize the emails by date in this search folder, from oldest to newest.

 

 

  • Select and delete unnecessary emails: Browse through the list of emails and select those you no longer need to keep. Then, click the delete button to move them to the trash.


 


  • Empty the trash: Go back to your Trash folder and empty it to permanently free up space.


 


  • Bonus: You can also use this method to delete all emails received and sent before a certain date. For example, create another search folder to delete all emails older than 5 years. 


Then, delete the entire search folder and make sure to empty the trash afterward.
