Accessing a shared box on Outlook may be different depending on which version you're using: Outlook Desktop, Outlook Web Application, or Outlook on the mobile app. Here's a guide to help you navigate each of these versions.
Access from Outlook Desktop
- Open Outlook Desktop: Launch the Outlook application on your computer.
- Wait for the shared box to appear: Once the administrator configures the permissions for the shared box, it should automatically appear in your inbox list. This may take a few minutes.
Here, "Type Form" is the name of the shared box that was just added for me.
Access from Outlook Web Application
- Open Outlook Webmail: Log in to your Outlook account through the browser by accessing Outlook Web.
- Using "open another box...":
- Click on your profile picture or account icon at the top right of the screen.
- Select "open another mailbox..." from the drop-down menu.
- Type the name or email address of the shared box and click "open".
- Access the shared box: the shared box will open in a new window. You will be able to access it like a normal inbox.
Using the example of the shared box named "Type Form", the search tool allows me to easily find it.
Access from Outlook Mobile Application
- Open Outlook Mobile: Launch the Outlook app on your mobile device.
- Add a shared box:
- Go to settings by clicking on your account icon (usually located in the upper left corner of the screen).
- Under Accounts, select your primary email account.
- Click on “shared mailbox”.
- Enter the email address of the shared box and click "add mailbox".
- Go to settings by clicking on your account icon (usually located in the upper left corner of the screen).
- Access shared box: The shared box will now be visible in your inbox list. You can access it like a normal inbox.
